Organization Admin Manual

Comprehensive guide for setting up your organization, managing members, assigning learning, and reporting.

1. Overview

As an organization admin you manage seats, invite members into cohorts, assign learning, brand your certificates, and view progress and completion reports for your people.

2. Set up your organization

From Organization settings add your legal name, display name, country, time zone, and default language. Upload a logo — it will appear on member certificates if you enable co-branding.

3. Seats and billing

Seats are the number of active members your subscription allows. When a member is deactivated their seat is freed. Invoices and payment methods live under Billing.

4. Invite and manage members

Send invites by email from Members. Invitations expire after 14 days and can be resent. Members appear as pending until they accept.

5. Cohorts

Create a cohort, choose a start date, and add members. Cohort members see the same live sessions and can participate in shared discussions.

6. Assign courses and learning paths

From the course or path page choose Assign. Pick individuals, cohorts, or the whole organization, and set an optional due date.

7. Bulk enrollment (CSV)

Download the CSV template from Members → Bulk import. Fill in email, first name, last name, cohort (optional) and assigned course (optional), then upload. The system validates the file and shows any errors before importing.

8. Progress dashboards

Dashboards filter by cohort, course, and date range. Drill down to any member to see their per-lesson progress.

9. Reports and exports

Choose a report, apply filters, and export. Scheduled reports can be emailed to selected admins weekly or monthly.

10. Organization certificates and branding

Under Branding upload your logo and an authorized signature image. These are applied automatically to certificates issued to your members.

11. SSO overview

SSO is available on enterprise plans. Supported protocols include SAML 2.0 and OIDC. Contact support to configure it — you will need your identity provider metadata.

12. Custom domains

Enterprise organizations can point a subdomain (for example learn.yourcompany.com) at the platform. Support provides DNS instructions once you request it.

13. Content library and entitlements

Your plan defines a base library. You can add entitlements for additional courses or restrict a cohort to a subset of the library.

14. Announcements

Draft an announcement, target it to individuals, cohorts, or the whole organization, and schedule delivery. Members see it on their dashboard the next time they visit.

15. Roles and permissions

Roles are additive: an admin can also learn. Managers can view progress for their assigned cohorts but cannot change billing.

16. Data export and retention

Full member and progress exports are available on request under Data. Data is retained while your subscription is active and for a defined period afterwards; see the privacy policy for details.

17. Security best practices

Require two-factor authentication for all admins, use SSO if available, review your admin list quarterly, and rotate any shared invite links.

18. Troubleshooting

  • Invites not received: check spam folders, then resend from the members page.
  • Seat count wrong: deactivated members do not count; refresh the page.
  • Reports blank: confirm the date filter and cohort selection.
